Bookings are subject to; availability, receipt of full payment, and in adherence to our cancellation policy. All prices include VAT or other applicable taxes at the current rate. Prices are correct to the time of booking for the specific number of guests, dates, nights and accommodation shown on your booking confirmation.
As Panshill offers self-check-in accommodations, there is no front desk available upon arrival to assist with your check-in. Instead, you will need to complete our online check-in form where you will be required to share a copy of your ID and Payment method used to make the booking. Therefore it is imperative to successfully complete the online check-in form sent to the email address provided during booking before your arrival date. Failure to do so will result in no access granted to the site and your accommodation.
Being a family-run business with a small and dedicated team, we strive to provide an exceptional experience for our guests. Despite our diligent efforts to manage bookings effectively, there may be extremely rare instances of overbooking (if two guests reserve the same room simultaneously), leading to potential challenges in honouring your reservation. In such cases, we will promptly notify you (within 24 hours of your booking), but it's important to note that we cannot assume financial responsibility for compensation or securing alternative arrangements. Your understanding in these rare situations is greatly appreciated.
You are responsible for any damage or loss caused by you during your stay with us, including any damage to our property by your act, omission, default or neglect. All accommodations are checked prior to your arrival. You agree to pay any amount reasonably required to make good or remedy any such damage or loss.
We reserve the right to terminate your booking immediately without being liable for any refund or compensation where you engage in unacceptable behaviour that causes a disturbance or nuisance to our staff or to other guests on our premises.

Entering into a Contract 2.1 Once we confirm your booking via email or other communication ("Booking Confirmation"), a legally binding contract is formed. 2.1.1 This contract includes these terms and conditions. 2.1.2 Our privacy policy, available under 'PRIVACY POLICY' 2.1.3 Additional terms may apply, replacing or supplementing this contract. We will notify you of any changes two weeks in advance.
Information Obligations 3.1 According to the Consumer Contracts (Information, Cancellation, and Additional Charges) Regulations 2013, we provide key information before a binding contract is established (see clause 2.2). 3.2 Information includes: 3.2.1 Main characteristics of your booking and services. 3.2.2 Our identity, location, and contact details. 3.2.3 Total price, including taxes. 3.2.4 Additional charges, if applicable. 3.2.5 Payment details, service execution, and timeline. 3.2.6 Cancellation procedure and associated costs. 3.2.7 Complaint handling process (see clause 22). 3.2.8 Contract duration and termination details.
Booking Process 4.1 Quotations are not binding offers. Your reservation is an offer to purchase services. 4.2 We may decline your offer for various reasons, and we'll inform you promptly if we do. 4.3 Acceptance occurs when we send a Booking Confirmation, establishing a binding contract. 4.4 Completion of an online check-in form is mandatory to finalise your booking. Failure to successfully submit this form will result in no access to the property for your stay.
Price and Payment 5.1 The price at booking confirmation is final. 5.2 Provide valid credit/debit card details at booking. 5.3 Refund for unused incidentals on pre-paid bookings upon checkout. 5.4 Physical card used for booking must be sent in via online check-in form. 5.5 Physical Card needs to showcase last four digits, expiry date and name 5.6 Proof of ID will be requested via an online check-in form. 5.7 All amounts include VAT or local taxes, added at the current rate. 5.8 Bookings are subject to; availability, full payment of making a reservation, and agreement of our cancellation policy. Cancellation 6.1 Amendments to hotel bookings are permissible up to 7 days before check-in, may incur further charges. 6.2 Amendments necessitate written confirmation. 6.3 Cancellation or no-show will incur a charged outstanding balance. 6.4 No refund is provided if you prematurely vacate due to uncontrollable events affecting you.
Cancellation by Us 7.1 Limited liability for cancellations due to events beyond our control. 7.2 Reservation cancellation possible if payment is not received or other material breach occurs. 7.3 Refund or non-payment required based on fault. 7.4 No liability for uncontrollable events affecting the accommodation. 7.5 Examples include acts of God, war, terrorism, epidemic, or governmental actions.
